Disney hosts press junkets to promote their upcoming films as they have a huge part to play in the making or breaking of a campaign. In essence, these junkets are a day or two of back-to-back interviews spanning over 500 media outlets with the makers and talents of a film, taking place in one location.
Background

In a typical arrangement, Disney publicists organize and tightly schedule a press junket at a hotel, where journalists arrive one after another. The itinerary includes a mix of filmed and print interviews, with reporters assigned specific time slots to question attending talent about their latest project.

The press junket is considered the highlight of promoting a feature or product, involving the meticulous process of booking suitable spaces and inviting numerous individuals from the advertising world to interview the Director, Producers, and talent. It often spans across counties or even worldwide for major productions and is allocated a significant portion of the film's budget.

Publicists diligently fill the schedule with carefully chosen media outlets, ensuring that every aspect of the interview proposal has been thoroughly examined and approved by international and domestic teams. However, press junkets can be challenging to navigate due to their complex nature and unforeseen obstacles, leading to stress and frustration for journalists involved.
Brief

Up until now Disney always had these events planned and executed on paper making it tedious to track planning progress and updates within teams especially across regions. They approached the team at Isobar with the intention of going paperless and having everything done for them in the form of a web app to create a more seamless experience for the team while planning a junket and on the day of the junket.
Going paperless would ease the overwhelming effects of planning huge events as well as prevent errors that could possibly take place while planning these events.
The project requirements were to create a web app that would allow users to view all junkets, create a new junket, plan and input all the necessary data and enable the back end staff to seamlessly manage a live press junket.

The solution was a real-time event scheduling web app. It essentially had the capabilities of creating an account for all the planning staff to have them on board, viewing all junkets that are currently running or in the planning phase, creating a new junket, adding talents, media outlets, and other stakeholders part of a junket, tracking progress and arrival of media outlets on the day of the event, automatically organizing the event schedule for the day with flexible options to edit.
The app would also alter the event schedule in real-time with any edits made or changes to the event due to no-shows or delays. The app would also notify all the planning staff as and when there are any changes.
